1. Introduction
FacilitEasy ("we", "our", "us") is an enterprise asset management platform developed and operated by Kasadara Technologies. This Privacy Policy explains how we collect, use, store, and protect your information when you use our mobile application (available on Google Play Store) and web portal.
By using FacilitEasy, you agree to the collection and use of information in accordance with this policy.
2. Information We Collect
We collect the following categories of information to provide and improve our services:
- Account Information: Full name, email address, and organizational role â provided during account creation by your system administrator. We do not allow self-registration; accounts are created by authorized personnel only.
- Authentication Data: Encrypted password hash and session tokens (JWT) used to verify your identity.
- Usage Data: Information about how you interact with the app, including pages visited, features used, actions taken, and timestamps.
- Device Information: Device type, operating system version, screen resolution, and app version â used for troubleshooting, compatibility, and performance optimization.
- Work Data: Asset records, work orders, inventory transactions, maintenance schedules, and vendor data that you create or manage within the platform.
- Location Data: We collect site/location metadata associated with assets â we do not collect your real-time GPS location.
âšī¸ We do NOT collect: Precise device location (GPS), contacts, photos, microphone data, financial/payment information, advertising identifiers, or any data from third-party apps on your device.
3. How We Use Your Information
- To authenticate your identity and provide secure access to your organization's data.
- To deliver core features: asset management, work order tracking, inventory management, and maintenance scheduling.
- To send system notifications (email, in-app push) related to your work assignments and approvals.
- To generate dashboards, KPIs, and analytics visible to your organization's administrators.
- To improve app performance, fix bugs, and enhance user experience.
- To ensure security and prevent unauthorized access to your organization's data.
4. Data Sharing & Third Parties
We do not sell, rent, trade, or share your personal information with third parties for advertising or marketing purposes.
Your data may be shared with:
- Your Organization: Administrators within your organization can view data as part of the enterprise platform's role-based access controls.
- Infrastructure Providers: We use trusted service providers for hosting (cloud infrastructure) and email delivery, all operating under strict confidentiality and data processing agreements.
- Legal Obligations: We may disclose information if required by law, legal process, or government request.
âšī¸ Third-Party SDKs: Our mobile app uses Expo (React Native framework) for app delivery. Expo may collect anonymous crash reports and diagnostic data. No personal data is shared with Expo. See Expo's Privacy Policy.
5. Data Security
We implement industry-standard security measures to protect your data, including:
- All data transmitted over encrypted connections (HTTPS/TLS 1.2+).
- Secure authentication using JWT tokens with automatic expiration.
- Role-based access control (RBAC) to ensure users only see data relevant to their role.
- Multi-organization data isolation â each organization's data is logically separated.
- Regular security reviews, dependency audits, and updates.
- Server-side input validation and SQL injection prevention.
6. Data Retention
Your data is retained for as long as your organization maintains an active account with FacilitEasy. Specifically:
- Active accounts: Data is retained and accessible for the duration of your organization's subscription.
- Account deletion: Upon account deletion (initiated by you or your administrator), your personal data will be permanently removed within 30 days.
- Organizational data: Work orders, asset records, and operational data belong to the organization and are retained per the organization's data retention policy.
- Legal requirements: Some data may be retained longer if required by applicable laws or regulations.
7. Account Deletion
â ī¸ You can delete your account at any time directly from the FacilitEasy mobile app. Go to Profile â Delete Account. This action is permanent and cannot be undone.
When you delete your account:
- Your personal information (name, email, authentication data) is permanently deleted within 30 days.
- Work orders and records you created will be retained as organizational data but will be disassociated from your personal identity.
- You will be immediately logged out and will no longer be able to access the platform.

8. Your Rights
Depending on your jurisdiction, you may have the following rights regarding your personal data:
- Right to Access: Request a copy of personal data we hold about you.
- Right to Correction: Request correction of inaccurate or incomplete information.
- Right to Deletion: Request deletion of your account and associated personal data.
- Right to Restrict Processing: Request that we limit how we use your data.
- Right to Data Portability: Request your data in a machine-readable format.
- Right to Withdraw Consent: Withdraw consent for optional communications at any time.

9. Children's Privacy
FacilitEasy is an enterprise-grade application designed for professional use. It is not intended for use by individuals under 18 years of age. We do not knowingly collect personal data from children. If we discover that a child under 18 has provided us with personal information, we will promptly delete it.
10. International Data Transfers
Your data may be processed and stored on servers located outside your country of residence. We ensure that appropriate safeguards are in place to protect your data in accordance with this Privacy Policy and applicable data protection laws.
11. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes:
- The "Last updated" date at the top of this page will be revised.
- For significant changes, we may notify you via in-app notification or email.
